Quality Assurance & Service Standards Policy

1. Policy Statement
Global Path is committed to delivering consistent, reliable, and high-quality services to every student. This policy establishes a systematic framework for maintaining and improving our service standards through defined processes, continuous monitoring, and regular evaluation. It ensures that every student receives the same level of professional excellence, regardless of their advisor or chosen destination.

2. Scope
This policy applies to all core services provided by Global Path, including student counselling, university and course selection, application processing, scholarship guidance, visa support, and pre-departure services. It governs the work of all staff and the design of all service delivery protocols.

3. Service Delivery Standards
To ensure consistency, the following minimum standards are established for all key service areas:

A. Counselling & Profile Assessment:

  • A structured initial intake form and assessment meeting must be completed for every student.
  • A personalized plan, outlining recommended countries, universities, and a timeline, must be documented and shared with the student.

B. Application Management:

  • A standardized checklist for required documents per country/university will be used.
  • All applications and supporting documents must undergo a two-person review (advisor and a senior team member) prior to submission to ensure completeness and accuracy.

C. Communication & Reporting:

  • Adherence to the response timeframes stipulated in the Student Communication & Engagement Policy (Policy 2) is mandatory.
  • Key student milestones (application submitted, offer received, visa decision) must be logged in the central student management system within 24 hours.

D. Visa & Pre-Departure Guidance:

  • Visa guidance must be based on the latest official embassy/immigration website guidelines.
  • A mandatory pre-departure orientation session (one-on-one or group) must be offered to all departing students.

4. Process Standardization & Documentation

  • Service Manuals: Detailed, step-by-step operating procedures (SOPs) will be maintained for all core services and updated biannually.
  • Student File Management: A centralized, secure digital system will be used to maintain a complete record of all student interactions, documents, and application statuses.
  • Templates: Standardized templates for key documents (e.g., application trackers, visa document checklists, meeting notes) will be used to ensure uniformity.

5. Monitoring & Performance Tracking

  • Key Performance Indicators (KPIs): Global Path will track metrics including:
    • Student satisfaction scores (post-service surveys).
    • Average response time to student inquiries.
    • Application success rate (offers received vs. applications submitted).
    • Visa success rate.
  • Progress Reviews: Each student’s application progress will be reviewed in weekly team meetings to identify bottlenecks and ensure timely follow-up.

6. Continuous Improvement & Feedback Loop

  • Student Feedback: A mandatory anonymous feedback survey will be sent to students upon completion of key service stages (e.g., after application submission, after visa outcome).
  • Service Review Meetings: Monthly meetings will be dedicated to reviewing feedback, analyzing KPIs, and identifying areas for process improvement.
  • Staff Training: Regular training sessions will be conducted to ensure all staff are proficient in updated procedures, destination country changes, and best practices.

7. Roles & Responsibilities

  • Service Lead/Manager: Responsible for overseeing the implementation of this policy, monitoring KPIs, and facilitating improvement initiatives.
  • Advisors: Accountable for following standardized procedures, maintaining accurate records, and collecting student feedback.
  • Leadership Team: Responsible for allocating resources for training and system improvements based on performance data.

8. Policy Integration
This Quality Assurance policy is interdependent with all other company policies. Breaches of service standards will be addressed through the performance management framework and are considered under the Code of Conduct & Ethics Policy (Policy 6).

9. Policy Review
This policy, and the underlying SOPs and KPIs, will be reviewed every six months to ensure they remain effective and aligned with industry best practices and student needs.
